Permissions: Allow, Don't Allow and Not Now
Workers ask before they act, and you answer with Allow or Don't Allow, or put the question off with Not Now.
Workers ask first
When a worker wants to do something that needs your permission, it stops and asks. The task moves under Needs You on Today, and the chat says "Lou is waiting for you".
Only the person who started a task can answer it. A step on a Mac waits for the account that paired that Mac.
Answer a request
- Allow lets the worker do that one thing.
- Don't Allow says no. The worker does not do it.
On Today, a request for a step on your Mac has Allow and Don't Allow right in its row. Other requests open the chat, where you answer on the worker's card.
Once you answer, the buttons turn into a note of what you chose, such as "You allowed this at 10:52 AM." or "You said no."
On iPhone, the notification for a request has Allow and Don't Allow, so you can answer without opening the app.
Not Now
At the top of Today, Decide lists what your workers are waiting on, each with the worker's recommendation. If you are not ready to decide, choose Not Now.
The item moves to Set Aside and says when it comes back, such as "Back at 3:00 PM." It is not counted under Needs You until then.
What always asks
Each chat has its own Permissions, in the Inspector on the web and the Mac, and in the chat's menu on iPhone:
- Ask Me About Everything: the worker asks before each step that needs permission.
- Only Ask About Risky Actions: low-risk steps are checked against what you asked for in the chat, and the worker asks only about the rest.
Either way, sending, paying, posting, deleting and changing settings always ask you.
Permissions for apps
Each connected app has its own Permissions in Apps: Read is On or Off, and Act is Allow, Ask First or Off. A request to act in an app offers only Allow and Don't Allow, and its card has Open Apps to change that app's permissions.
Permissions for your Mac
Work on your Mac starts off. To turn it on, open the Mac app's Settings > Your Mac and click Allow Work on Your Mac. To turn it off again, click Stop Work on Your Mac.
In the Mac app, each worker's page has Mac Access, with three choices:
- Always: the worker works on your Mac without asking.
- Ask First: the worker asks before each step on your Mac.
- Never: the worker does not work on your Mac.
Answer many at once
Beside Decide, Routine holds the items you usually decide the same way, in one row, such as "12 items, decided the way you usually do". OK All answers them together. For a few seconds after, Undo takes it back before anything is sent. To answer one of them alone, open Routine and choose Decide Separately. Sending, paying, posting and deleting never join Routine.
In Weekly Review, each worker's one-on-one can list kinds of work you always answer the same way. Choose Make It a Rule to let that kind join Routine, or Keep Asking to give each one its own card. Either way, the worker still asks before anything is sent, paid, posted or deleted.
